PRACTICAL GUIDE · ND ORBIT

Prepare the information before the pilot.

An AI pilot needs a defined task and usable reference information. Preparing a small, representative set of examples is often more valuable than connecting every document and application at once.

Choose a bounded task

Write down what starts the process and what a correct result looks like. Include who approves the result and what must never happen automatically. This defines which information is needed and prevents the pilot from expanding without a clear objective.

Find the authoritative sources

Identify which documents, price lists or system records are current and who owns them. Remove obsolete copies from the pilot reference set or mark them clearly. An assistant needs a way to distinguish approved information from a plausible but outdated answer.

Prepare difficult examples too

Include incomplete requests, unusual terminology, conflicting information and documents with poor formatting. Keep some examples separate from development to evaluate the finished pilot. Record the expected result and why a person considers it correct.

Agree access and handling

Use the minimum information required. Before sharing sensitive samples, agree transfer, access, provider use, retention and deletion arrangements. Do not paste credentials or customer records into a public enquiry form.

Define how you will evaluate it

Set criteria for correctness, review effort, exceptions and operating cost. Assign someone who can judge business accuracy. These criteria give the pilot a decision point: proceed, revise the design or stop.

A useful next step

Describe the workflow, the systems involved and where your team spends time checking or moving information. We can discuss whether a focused discovery or pilot is appropriate.
